What is an AI voice agent and how does it answer business calls?

A plain description of a voice agent on a small business number in Delhi NCR, including what it will not do.

An AI voice agent sits on your business number and talks like a calm receptionist. It says up front that it is an assistant, answers timings, directions, prices and bookings from a list, and takes a message when the question is not on that list.

It is not a person. It will not invent an answer. That is the product, and that is the limit. A dental clinic in Green Park and a coaching centre in Laxmi Nagar both need the phone answered during the hour nobody can leave the chair or the batch. The agent is for that hour.

Says it is an assistant

The AI voice agents page already uses those words. It sits on the business number. It talks like a calm receptionist. The first sentence on the line is that it is an assistant. I will not hide that, and I will not sell you a voice that pretends to be the dentist.

Will customers know they are talking to an AI is the honest downside. Some people will hang up. I cannot give you a percentage. I have not counted every caller in Delhi NCR. Hiding it is a worse idea than the hang up. People can tell, and they will write the review if you lie.

Speaks from a list

NexBuilt writes the answers down as a list. The agent speaks from that list, not from a guess. Timings. Directions. Prices. Bookings, if you have a rule for a slot.

A clinic list is hours, fees for the usual work, whether you take walk ins, how to reach the door in Green Park, and what a first slot looks like. A coaching centre list is the course, the fee, the batch times, and who it is for. If a parent asks something that is not on the list, it takes a number and a message instead of mixing CUET with JEE.

How it is built is short.

  • A call about what the phone is asked, what a booking looks like, and which diary you already trust.
  • Those answers written down. The agent speaks from that, not from a guess.
  • It picks up, handles the usual calls, and writes the booking once.
  • You get the transcript. The odd call comes to you.

It never sends anyone to voicemail. That sentence is the job. Voicemail is how a Saturday table and a patient in pain both disappear.

Voice starts at Rs 25,000. The pricing page is a floor, not a quote. A voice agent on the business phone: usual questions, a booking, and a transcript. Yours sits above the floor if the diary is a mess, or if the same list has to cover more than one course or more than one chair.

Off the list, it takes a message

A question off the list becomes a callback, not a guess. You still make the call that needs a person. A root canal that is not a fee question. An admission call that needs a counsellor. A reservation for twelve with a note the kitchen has to see.

If the diary is already digital, the agent writes into that. If the diary is a notebook, we start by putting every phone booking in one list the floor can see. Two people cannot take the same slot because nobody saw the thread. The agent does not invent a second diary behind the desk.

Receptionist or an AI voice agent is the choice of who should be on that line. I will not tell you the agent is cheaper than a person in a way that makes the person look optional. The agent does the usual questions while you are with a customer. The person still does the work that is not on the list.

AI voice calling, the pros and the cons is the balance sheet. The pro is the phone is answered. The con is it is not a person, some callers will want one, and a thin list makes a thin call.

What it will not do

It will not sound like you. It will not know the regular who always comes late on Thursday. It will not talk a frightened patient through a treatment plan. It will not replace the counsellor, the host, or the stylist.

It will not take a full restaurant order across a menu. A table, opening hours, and the usual phone questions are the list. An order across every dish is a separate build. I will say if that is the job you want.

I will not tell you it pays for itself in a month. A booking after the call still follows your area, your reviews, your hours, and whether you ring the people who left a message. Listen to a week of transcripts before you decide the list is right. That week will show you the holes faster than a demo.

What to do with the number

Write down what the phone is asked between 10 and 8, Mon to Sat. If that list is short and true, you are in the floor’s neighbourhood. If the list lives only in someone’s head, we write it down first. If you cannot say what happens when, I cannot ask a machine to say it.

What does it actually speak from?

What if the caller asks something that is not on the list?

It takes a number and a message instead of guessing. The odd case still waits for you. You get the transcript either way.
