I am losing customers because nobody picks up the phone. What do I do?

What to do when the clinic or salon phone rings out, including the option that is not software.

Put a person on the line if you can. If that person is mid colour or mid filling, an AI voice agent can pick up the usual questions, book, and leave a transcript, and it will say it is an assistant.

That order matters. Software is not the first kindness to a ringing phone. A dental clinic in Green Park and a salon in Rajouri Garden lose the same kind of call for the same reason. Nobody was free. The stranger tried the next number.

A person first

If you have someone who can sit with the phone, and they are not also the work, start there. A receptionist who hears the line, writes the slot once, and calls back the odd one, is still the cleanest fix. I sell the other thing. I will still say this.

The person first option has a cost I do not publish as a salary. It also has hours. If your shop runs Mon to Sat 10 to 8 and the phone rings at 9pm, that person is not the plan unless you pay for that hour.

Write one week before you buy anything. How many times it rang, how many a human picked up, how many went to voicemail. How much business you lose from missed calls has no honest rupee figure from me. You can still see whether the hole is the line.

A rule helps even without a hire. The floor hears the phone. One list. Two people cannot take the same slot. If the line still dies in the chair, you have the case for an assistant on the number.

What a voice agent can do

The AI voice agents job is the business number. It talks like a calm receptionist. Callers hear that it is an assistant before anything else. It can take hours, a direction, a price, and a slot from the list you wrote. You get the transcript. It never sends anyone to voicemail.

That is the list. A patient who wants the next slot after 6. A client who wants a Saturday blow dry and the price. If the answer is already on a card you would hand a new desk person, the agent can say it.

The build floor is Rs 25,000 on the pricing page. That is the build, not a salary and not a monthly figure. If the diary is already digital, the booking can go there. If it is a notebook, we start by putting every phone booking in one list.

Usually under two weeks is for a site. Voice depends on what the phone is asked. I will say that after I have heard the week.

For a clinic that keeps missing the chair hour, a dental clinic that stops missing calls is the same problem in that trade. The tool is the same. The list of answers is yours.

What it cannot do

It is not a receptionist. Receptionist or a voice agent is the comparison, and the honest downside sits on the thing I sell.

Unusual calls still need you. A patient with swelling who wants advice. A colour correction that is already mid argument. A person who will only speak to the owner. It writes a message and leaves the unusual call for you. You still make that call.

A few callers drop the line when they hear it is an assistant. I will not tell you nobody minds. It says what it is. A few callers will try the next shop. Weigh that against the calls that currently die in voicemail.

It will not calm a furious review or decide a clinical question. If most of your missed calls are those, hire the person. If most are “what time” and “how much” and “is there a slot”, the agent is the usual hour.

The messages that are not a phone call

The phone is not the only line that rings out. Instagram at 11pm. A form on Sunday. A WhatsApp while you are with a patient. Those are not a voice agent. They are an inbox.

Booking automation puts Instagram, the form and WhatsApp in one place, answers the usual questions, and chases the rest. That inbox job starts at Rs 15,000. It will not pick up the clinic number. Do not buy it to fix a missed call, and do not buy a voice agent to fix a DM pile.

If both are eating the week, we pick the one that is louder, ship that, then talk about the next. I will not wrap voice and inbox into one quote so the meeting looks finished.

What to do this week

Sit with the last seven days. Not a feeling. A count.

  • How many calls. How many pickups. How many voicemails.
  • What they asked, if you know. Usual, or unusual.
  • Whether a person could cover the busy hour if you paid for that hour.

If a person can cover it, hire or move someone. If the busy hour is the chair, and the questions are the usual ones, the agent is the option that picks up. Then get in touch. Bring the week you counted: rings, pickups, voicemail. I will say if you need a person, an assistant, both, or neither.

Should I start with software or with a person?

Start with a person if you can put one on the line. A voice agent is for the hour that person is already in a chair, or for the hour you have no desk.

What can a voice agent actually do?

It picks up, says it is an assistant, handles timings, directions, prices and bookings, and leaves you a transcript. It does not send anyone to voicemail.

What happens on an unusual call?

It takes a message and pings you. It does not guess. Hang-ups happen. The unusual one still comes back to you.
