How much business am I losing every month from missed calls?

Why there is no honest rupee figure for missed calls, and the three numbers from your own week that would produce one.

Multiply your own missed calls by your own close rate by your own ticket. That product is the only honest rupee figure for what the line lost this month.

A coaching centre in Laxmi Nagar and a salon in Rajouri Garden do not lose the same money, and I have not sat your week. I cannot give you a city average. I will not estimate any of the three.

Why I will not invent a number

Owners ask this because they want a shock they can take to a partner. A monthly loss. A city average. Something that makes the next hire look obvious.

I have not audited every shop in Delhi NCR. The fee for a colour in Greater Kailash is not the fee for a two month JEE batch in Rohini. The share of callers who book is not the same either. I will not paper over that.

I also cannot see the calls you already saved. The parent who called twice and got through. The client who walked in anyway. Counting every ring as a lost ticket is how you invent a hole. If someone quotes you a monthly loss without your log, they guessed.

The three numbers that would produce one

You need three figures from your own shop. Not from me. Not from a blog.

  • Missed calls in a period you trust. A week is enough to start. A month is better if you can stand the counting.
  • Close rate. Of the calls you did pick up, how many became a paying job. Use that share. Do not use a number you wish were true.
  • Ticket. What that job is usually worth. One colour. One admission. One package. Pick the job those calls are actually for.

Missed calls times close rate times ticket is the figure. If you do not have one of the three, you do not have a figure. You have a feeling.

I will not fill the gaps. I will not say a typical Delhi salon close rate, or a typical centre ticket. Those would be estimates.

Write the multiplication on paper. If the ticket mixes a cheap cut and a long colour, pick one job or split the list. Honesty in the inputs is the whole method.

How to count missed calls for a week

Use the phone log. Not your memory of a bad Saturday.

Pick seven days that look like your real week. If you open Saturday, include Saturday. If admission season is the week you care about, count that week, and do not average it with a dead July unless you want a dead number.

For each day, mark:

  • Rings that nobody answered.
  • Calls that hit voicemail.
  • Calls you returned the same day, and calls you did not.
  • Repeat numbers, so one parent who tried three times is not three lost tickets unless you want it that way. Decide the rule before you start.

A missed call you returned an hour later and booked is not a loss. Keep it in the log as a miss that you recovered. The unrecovered ones are the ones that enter the multiplication.

If two people share the shop phone and a personal phone, count the number the listing shows. The other line is a different week. This is tedious. That is why people skip it and ask me for a rupee figure.

What the multiplication does not include

It does not include the person who never called and booked the shop that picked up first. You cannot count a call that did not happen.

It does not include Instagram and the form. Those are not missed calls. They are a different pile. Do not fold them in to make the number larger.

It does not tell you how soon you will see the money back on a hire or on an assistant. Payback needs what you spend, and what you actually recover, not what you might have lost.

It does not tell you to buy an AI voice agent. The agent is one way to pick up the usual questions. A person is another. What to do when nobody picks up is that choice. This page is only the arithmetic.

After you have the number

Look at it next to the week, not next to a pitch.

If the figure is small because almost nobody calls, the phone is not the hole. If the figure is large because you miss a lot and those calls usually book, the phone is the hole. If you cannot finish the multiplication, you are not ready to spend on the line.

Receptionist or a voice agent is the next read when the arithmetic says the line matters. A person first if you can put one there. An assistant if the busy hour is the chair or the batch, and the questions are timings, fees and a slot. The voice build floor is Rs 25,000 on the pricing page. That is the build, not the loss you just calculated, and not a monthly running figure.

Then get in touch if you want help reading the week you counted, not a city average I do not have. A short call. The log, the close rate you used, the ticket you used. I will say if the hole is the phone, or I will say the number does not justify the work and stop bothering you.
