Enquiries come from Instagram, WhatsApp and the website form. How do I stop losing them?

Put the three piles in one place, answer the usual questions, and write the booking once. What that job is, and what it will not fix.

Stop losing them by seeing all three piles in one place and writing the booking once. A gym whose Instagram sits until the morning trainer, and a coaching centre whose form, WhatsApp and walk-in register each hold a different fee, are losing the same enquiry in three rooms.

I will not tell you a dashboard invents parents or members. I will tell you to answer tonight before you buy anything.

Why they die in three rooms

The same quarterly fee lands on Instagram. The same batch question lands on the form. The same “are you open on Holi” lands on WhatsApp. Three people reply, or nobody does. Two people cannot take the same slot if nobody saw the thread, and they will if each room has its own 6pm.

Visitors but no enquiries is the page that opened and offered no way to write. What booking automation is is the product name for the inbox. Gyms in Delhi and membership enquiries is the gym week.

What to do this week without a build

Open the three apps. One list the floor can see. Fee, time, name, channel.

  • Answer the usual questions from a note you already give by mouth.
  • Write the slot once.
  • Chase the quiet ones tomorrow, not next month.

If that list is short by Friday, you may not need booking automation. If that list is the week, the floor is Rs 15,000 on pricing for Instagram, the form and WhatsApp in one inbox, answered and chased. That is a build, not a monthly I hid.

What the build does, and does not

Usual questions get a reply without waiting for morning. The odd thread is chased until they write back. The booking lands in the diary you already trust, or in one list if the diary is a notebook.

It will not replace a counsellor. It will not fill a quiet road. It will not save a site that never opens. People leave after three seconds. Fix the wait or skip the form.

I will not give you a conversion rate from DM to trial. Count last week’s unanswered threads. Multiply by the fee you already charge. That product is yours.

A coaching centre in Laxmi Nagar that runs two WhatsApp groups, a Google form, and a receptionist notebook is the same leak with extra paper. The parent who wrote the form at 9pm and the parent who wrote the group at 9:05 both think they have the last seat. One of them will be angry on Monday. The inbox job is to make those two lines meet before anyone promises the seat.

A gym that only lives on Instagram still has a leak if the trainer who owns the login is off on Sunday. Moving the pile to one place the floor can open is the first win. Buying a widget for a site nobody uses is not.

When the form is the empty room

If the website form has had three rows in a month, do not wire it first. Wire the channel that already has the pile. People leave after three seconds on a heavy page. A form on that page is a fourth room that nobody entered.

If the form is busy and WhatsApp is quiet, start with the form. I will not sell you Instagram because it looks modern.

Downsides

You will still miss a message if nobody looks at the one inbox. One inbox is not a person.

A wrong fee on the list will be repeated faster. That is a real cost. Keep the list true.

You may also discover that two staff already answer the same chat and contradict each other. One inbox makes that visible. Visibility can sting. It is still better than two 6pm promises.

A salon in Greater Kailash that already keeps one shared note by the till may need nothing from me. If Friday is clean after you tried the shared note, keep the note.

What to bring if the pile is still the week

Do I need software tonight?

No. Open the three apps and answer the pile. Software is for the pile that is still the week after that.

Will one inbox create more enquiries?

No. It stops the ones you already got from dying. Demand is a different problem.

What if I only have WhatsApp?

Then start there. Do not buy a form integration for a form nobody uses.
